Other information
1. Privacy/confidentiality
a. The classes are not mental health treatment, and are not protected under medical HIPAA laws
b. Respect others’ privacy
i. Don’t share information that others share in class
ii. Ensure you are in a private space in which other adults in your background cannot hear (or use headphones)
2. Program communication
a. Individual participants are sent “status updates” via email about once monthly
i. These include the program’s documented attendance, absences, and payment balances
ii. Review these pdf documents as they come in for accuracy
iii. Email (preferred) or call to discuss any discrepancies in a timely manner
b. Individual participants whose fees are considered excessively outstanding/behind will be sent up to two warning notices
i. Non-responses to the first will result in a second warning
ii. Non-responses to the second warning will result in denial of entry to classes until the fees are addressed
1. This second warning will be copied to the mandator
iii. The program reserves the right to terminate participation based solely on non-payments of fees
c. Mandators are sent updates weekly
i. These include each participant’s attendance, absences, and payment balances
ii. Subjective information is not shared with mandators
3. Zoom functions and participation
a. It is considered wise to get into the zoom waiting room several minutes in advance of 7:00 pm, to be sure your technology is functioning properly
i. Instructors will push one button to “admit all” at 7:00 pm
ii. Anyone not in the waiting room at that time will be denied entry, resulting in an absence
b. Your name (first name and last initial) must show on your screen
c. You can use the chat feature to participate
d. There is a “raise hand” feature under the “react” button. This can be used to call attention to yourself so the instructors will call on you and give you the space/time to share verbally (if the flow of conversation makes it difficult to get space to speak)
e. Keep your zoom muted until you want to speak
f. Use the “leave” button to exit class when dismissed at 8:30 pm
4. Flow of classes
a. Upon entry into the class, get “into the room” by saying your first name (and last initial if needed) and the number of classes it is for you at that time
b. Instructors will guide discussion, maintaining a focus on issues connected to domestic violence
c. Instructors will periodically call for a “check in”, serving three purposes
i. Ensure everyone has the space to share a thought
ii. Hear what each person is understanding about the conversation to that point
iii. Ensure each person is paying attention
1. Instructors will manage inattentiveness as needed, preferably in private ways
2. If instructors are of the belief that a participant is consistently inattentive, they reserve the right to mark a class as an absence, despite being on the zoom session.
3. Saying “I’m here” is not considered a check in
d. Instructors hold assumptions about the inherent value of all people, and encourage productive participation
e. Instructors also have the responsibility to maintain the integrity of the content discussed, so will sometimes ask participants to hold their thoughts and listen to content and perspectives being offered
5. Recording of classes
a. The program reserves the right to record
b. Participants are not entitled to record the classes
6. Attendance start date
a. Attendance start date is considered the official start of the classes, and absences will be counted from then forward
b. Attendance prior to the official start will be credited as attendance
c. Attendance start date is usually determined to be the second Tuesday after the registration date
7. Disabilities or impairments
a. Please let the registration staff know of any disabilities or other impairments that may cause difficulties to attend the 90 minute classes
b. These could include reading/writing abilities as well as mental health or substance misuse struggles
